The warehouse that never reconciles

The signal is always the same: the system says twelve, the floor has nine, and nobody knows when three walked off. There is rarely theft behind it; there are issues written in a notebook, a branch transfer nobody recorded, material handed to a technician without a slip and counts done by hand twice a year.

When stock does not reconcile, the cost is not only shrinkage: you overbuy out of fear, you promise delivery of something that does not exist, and every month-end turns into an argument between the warehouse, purchasing and accounting.

A custom WMS attacks that where it happens: at the movement. Every receipt, issue and transfer is recorded with who, when and against which document.

What a custom WMS includes

Multi-warehouse and locations. Several warehouses or branches, stock by location and transfers with acknowledgement, so nothing moves without a trail.

Lots, expiry dates and serial numbers. Essential in food, pharmacy, chemicals and serialised parts: which lot came in, which customer it went to and what is about to expire.

Barcodes. Receiving and picking with a scanner or the phone camera, which is where entry errors really disappear.

Cycle counts. Instead of shutting the warehouse for two days a year, you count by zone through the month and fix differences with evidence.

Minimums and alerts. The system tells you when to reorder instead of you finding out when it is gone.

Ledger and costs. Full history per item and real inventory value, ready for accounting.

From spreadsheets to a WMS without stopping the warehouse

We start with a proper opening count: count it, load it, and from then on the system is the source of truth. Catalogues and stock are migrated from your spreadsheets or the previous system.

Then we connect what already exists around it: purchasing, so receiving draws down the order; sales or point of sale, so an issue deducts stock automatically; and CFDI 4.0 invoicing, to avoid double entry. If you sell over a counter, Tomín POS — our point of sale — connects to the same inventory.

Training happens with the warehouse crew on the floor, not in a meeting room: they are the ones scanning, receiving and picking every day.
